The Challenge: A Fragmented Experience

FabZone, a vibrant makerspace in Montreal’s West Island, faced a common hurdle for non-profits: their digital presence didn’t match their physical creativity. Their registration process lived on a third-party platform, which created a disjointed user journey and lacked robust bilingual support. Furthermore, manual updates for newsletters and physical signage were draining the team’s time.

The Solution: A Unified Web Hub

A new WordPress website was developed, featuring a custom theme to adopt FabZone’s new branding. This centralized brand home ensures the user journey remains on-site, providing several key advantages:

  • Seamless API integration: By hooking into the SmartRec API via a custom WordPress plugin, class listings, real-time “spots remaining,” and “sold out” statuses were brought directly onto the website.
  • Bilingual support: Using WPML, the technical data pulled from the API was mapped to both English and French, providing a professional, accessible experience for the entire Quebec community.
  • SEO optimization: By hosting full workshop descriptions and real-time data directly on the FabZone domain rather than a third-party portal, the site’s search engine visibility is significantly enhanced, driving more organic traffic to the workshop programs.
  • Empowered administration: The integration with the WordPress CMS enables administrative staff to manage their entire web presence with ease, reducing the technical barrier for daily updates.

Efficiency Through AI & Automation

To give the FabZone team more time to focus on “making” rather than “marketing,” a suite of automated workflows was implemented:

  • Workshop program sync: An n8n workflow was built to take live class data and automatically update Google Slides presentations. These are broadcast on two TV displays in the Pointe-Claire Plaza, ensuring the community sees the latest offerings in real-time without manual intervention.
  • Mailchimp automation: Class data is now pulled directly into Mailchimp, removing the need for tedious manual data entry for monthly newsletters.
  • Bulk Asset creation: The creation of marketing assets in Canva was streamlined, allowing for the rapid generation of high-quality visuals for social media and promotion.

This project was completed in conjunction with marketing support from MIM Marketing, ensuring the technical solutions aligned perfectly with the organization’s broader outreach goals.
